Enterprise ERP
One connected foundation for daily operations.
Organize the business records behind field service, from customers and buildings to equipment, inventory, vendors, and supporting documents.
Customer and building records
Each customer record has tabs for its buildings, contacts, invoices, credits, contracts, calls, dispatches, proposals and inspections. A building belongs to a customer and has named contact slots: Main Contact, Agent, Collections Contact and Superintendent. A building with no contact of its own uses the customer's Main Contact.
- Building tabs for devices, contacts, contracts, calls, dispatches, proposals, inspections, the ledger and documents, with fields edited in place
- Management companies group the customers they manage and roll up their invoices, credits, contracts, calls and dispatches
- A building needs a customer, and a device needs a building, before either can be saved
- A new customer is set up with its first building and device in one guided flow
- Admins choose the fields each record type carries, and system-required fields always stay
Assets and equipment
Devices are recorded against a building, so each device record shows its building and customer without re-entry.
- Elevator details such as type, class, capacity, car speed, floors, travel, hoist motor and control board
- Dispatches, Tests and Mechanics tabs on every device record
- Installed parts shown in the dispatch console, built from approved part usage
- Each building's Devices tab lists the devices at that site
Inventory and vendors
Inventory items, inventory types, tools and vehicles are kept as configurable record tables. Vendors have their own records, and the parts shops you buy from are kept as a supplier list.
- Tools and vehicles checked out and checked back in, on Available and Checked out tabs
- A vendor's payment terms and default expense account fill in a new AP invoice
- 1099 details kept on the vendor record
Storage
Files are attached to the record they belong to.
Building documents are attached to the building. Purchasing documents are attached to the purchase order or supplier return they belong to. Dispatch photos are attached to the dispatch they were taken for.
Documents and attachments
A building's Documents tab takes images, PDFs, text files and CSV files, and each one can be downloaded or deleted from the tab.
Job photos and evidence
Photos for a dispatch are filed under a category (Before Work, After Work, Damage, Part, Device, Safety, Customer Request, Completion or Other) and attached to that dispatch.
Contracts and supporting files
Service contracts are records on the building and customer they cover. Inspection certificates and site photos can be added to the building's Documents tab.
Record associations and organization
Account → Drive lists purchasing documents and dispatch files together, and each one names the record it is attached to.
Connected business data
Dispatch, service operations and accounting take their context from these records. Purchasing keeps its documents on its own purchase orders and supplier returns.
- A new call picks up the building's customer and superintendent and offers only that building's devices
- Dispatches, calls, proposals, contracts and inspections appear on the building and customer they belong to
- The Proposal Wizard picks from the same building, customer and device records
- A building's Ledger tab shows the invoices and payments from its jobs, alongside record changes
- A customer's default AR account is used when its invoices and payments post
How it works
Each record builds on the one before.
A customer comes first, then its buildings and devices. Calls, dispatches and building documents attach to those records, which list the work done against them.
Customer
Create the customer in the Record Wizard with its name and full address. The wizard finishes once the customer has a building.
Building / Asset
A new building names its customer and needs at least one device. A building with no contact of its own uses the customer's Main Contact. Each device names its building.
Work
A call raised against the building picks up its customer and superintendent. Dispatches, proposals and inspections show on the building and customer.
Documents
Building documents go on the building's Documents tab. Purchasing documents are attached to their purchase order or supplier return.
History
The building's Ledger tab shows invoices and payments from its jobs, plus record changes. The device record lists its dispatches, tests and mechanics.
